Tutor Peers Refund, Cancellation and Behavior Policy

General rules
- Tutorpeers users can be School Students or College Students depending on age or grade.
- Every year our system may re-assess user affiliation with a specific educational institution based on certain criteria and ask users to confirm or decline the transition.
Payments
- Learners / Parents are charged a 10% fee on top of the Tutor’s price for all purchases made on our platform. The platform adds this fee automatically to the total amount paid by Learner / Parent to the Tutor.
- We use a secure payment processing system provided by Stripe to facilitate payments between Learners / Parents and Tutors. The Tutorpeers platform does not store any payment information.
- Learners, Parents, and Tutors are responsible for paying any applicable taxes related to their transactions. We do not collect or remit any taxes on behalf of our users.
- If you have any disputes with either party of the platform, please get in touch with us at support@tutorpeers.com to resolve the issue.
Booking and Canceling Sessions
- Tutors must connect their Google Calendar to allow Tutorpeers to manage their schedule conflicts. Tutors are responsible for managing their schedule conflicts if they remove Tutorpeers events from their Google Calendar.
- Learners may connect their Google Calendar to prevent double-bookings.
- Tutoring sessions can be booked in advance according to Tutor’s schedule and availability.
- Tutorpeers processes payments by authorizing the total session cost, including fees, up to 160 hours before the session concludes. If the authorization time falls within 160 hours before the end of the session, the cost is authorized immediately. If it exceeds 160 hours, authorization is deferred until the 160-hour mark is reached.
- Scheduled sessions can be rescheduled by Learners or Parents up to 12 hours before the start without any penalty. When it is less than 12 hours before the start, rescheduling is not possible.
- To reschedule, ensure sufficient funds are on your payment card. We may need to re-authorize the session cost, which means authorizing the new cost and releasing the previous one.
- Sessions can be canceled up to 1 hour before the session starts.
- For a Paid Session:
- Learners, Parents and Tutors can cancel a session free of charge up to 12 hours before the session starts.
- If a Learner or a Parent cancels the session less than 12 hours before its start or does not show up for the session (“no show”), the session will not be refunded, and the Tutor receives the payment.
- If a Tutor cancels the session less than 12 hours before its start or does not show up for a session (“no show”), Learner or Parent will be refunded automatically. Tutors are penalized by a reduction in their Tutor rating or may be removed from the Marketplace.
- For Unpaid/Free sessions:
- Learners and Parents cannot schedule more than 2 free sessions at a time.
- We may restrict Learners' and Parents’ ability to schedule free sessions because of late cancellations or no-shows.
- Tutors are penalized for late cancellations and no-shows by a reduction in their Tutor rating which is visible to Learners while they are selecting a Tutor.
- Tutors can lose access to the platform for continuous late cancellations and no-shows.
Instant Sessions
- Learners can request an instant tutoring session with Tutors who are online.
- If the Tutor confirms the session, the Learner’s credit card is charged (if it is a paid session) and the session begins.
- Instant sessions cannot be canceled or rescheduled.
Conducting Sessions
- Participants can join 5 minutes before the session begins.
- Sessions officially start at the scheduled time.
- If one participant is absent when the session has started, the platform begins a 5-minute countdown.
- No Shows:
- If the participant does not join during the 5-minute countdown, the session will be automatically terminated.
- The other participant must wait for the 5-minute countdown to complete, or this participant won’t be able to claim the payment.
- If the Learner didn’t join, the Learner will not be refunded and the Tutor will be paid.
- If the Tutor didn’t join, the Learner will be refunded.
- There are many scenarios when users might leave unexpectedly in the middle of the session (internet connection lost, power outage, closed the browser tab, etc.)
- If a participant leaves the active session, the platform begins a 5-minute countdown.
- If the participant does not reconnect during the next 5 minutes, the session will be auto-terminated.
- The platform processes all refund claims related to non-completed sessions manually, based on user appeals and session logs.
- Sessions are officially over when scheduled session duration passes since the start time.
- The platform allows 5 extra minutes for participants to finish the session.
- The 5-minute countdown begins at the official end of the session time.
- Sessions are automatically terminated when the timer reaches 0:00.
- Any participant can terminate the session at any time by clicking the ‘End session’ button. They are prompted to confirm this action.
- Any refund claims related to early session termination by a peer can be sent to support@tutorpeers.com.
Tutor Ratings & Reviews
- Learners and Parents can leave an optional review with the description of the session. Learner reviews influence a Tutors rating which is visible to Learners when selecting a Tutor.
- Tutorpeers has the right to use your reviews in our marketing materials, including social media posts, to highlight the quality of our tutoring services.
Special Offers and Promotions
New Learner Free Session Offer ("The Offer") is provided to newly registered users of Tutorpeers ("Tutor Peers LLC") during the promotional period and is governed by the following terms and conditions:
- The Offer is available only to individuals who register a new user account on the Platform during the promotional period ("Qualified Users").
- Qualified Users will automatically receive a credit for one free tutoring session, limited to a maximum value of $25 USD ("Session Credit"). If the cost of the tutoring session exceeds $25 USD, Qualified Users will be responsible for paying the balance in full.
- Forfeiture Conditions:
- If a Qualified User cancels a session less than 12 hours before the scheduled start time, the Session Credit will be forfeited.
- Failure to attend a scheduled session without prior cancellation will also result in forfeiture of the Session Credit.
- If Tutorpeers extends the promotional period for the Offer, the extension will only apply to users who register after the extension date is announced. Users who registered before the extension will still be bound by the original expiration date.
- Tutorpeers reserves the right to discontinue or modify the terms of the Offer at its sole discretion.
Behavior Policy
- Parents are responsible for ensuring their children (Learners) arrive on time for scheduled sessions.
- Tutors and Learners are expected to be on time for tutoring sessions and treat peers with kindness and respect.
- Bullying and discrimination of any kind is strictly prohibited on Tutorpeers.
- The platform is intended to be used as a safe and positive learning environment for students to learn together. No other uses are permitted.
- Tutorpeers reserves the right to suspend or terminate user accounts at its sole discretion.
- Tutors and Learners user accounts can be suspended or terminated for repeated session cancellations or no show for sessions.
